Rent a 3D scanner, buy one, or hire a scanning service?
When you need 3D data from a physical object, there are three common options: buy a scanner, rent one by the day or week, or hire a full scanning service. Each one suits a different situation.
| Option | Best when | Things to consider |
|---|---|---|
| Buy a scanner | You scan often and have dedicated staff | Investment, training, maintenance and software updates |
| Rent a scanner | You already know how to use it and need to scan many objects in a short time or on site | You process the data yourself and are responsible for the equipment |
| Hire a scanning service | You lack experience, need results in the right format, or have project-based needs | Clearly describe the accuracy you need and the output format |
For students working on projects or freelancers just starting out, renting only pays off if you already know the scanning and mesh-processing workflow. Without experience, learning to operate the scanner can take up most of the rental period.
Tips for renting a 3D scanner
- Choose the right type: small, detailed objects need a high-resolution scanner with a turntable. Large objects such as vehicles, molds or outdoor statues need a handheld scanner.
- Check the software and license: the scanner needs control and processing software. Ask whether the included software exports the formats you need (STL, OBJ, PLY).
- Computer specs: scanning and merging data requires a computer with a strong enough graphics card and RAM, so check the requirements before picking up the scanner.
- Accessories: reference markers, anti-glare powder or spray, and a calibration board are often needed.
- Calibration: calibrate the scanner as soon as you receive it and after moving it to avoid errors.
When should you switch to a scanning service?
If the object has difficult surfaces (shiny, black, transparent), needs high accuracy for reverse engineering, or you need clean, watertight data ready to 3D print, a full 3D scanning service is usually cheaper than renting a scanner and figuring out the processing yourself. You only need to provide the object and tell us how the data will be used.
Frequently asked questions
Should someone who has never used a 3D scanner rent one?
Not if you need results fast. 3D scanning takes experience in surface preparation, scanning technique and mesh processing, and beginners usually need a lot of time to get comfortable. In that case, a scanning service is faster and more reliable.
Does a 3D scanner rental include data processing software?
The scanner usually comes with the manufacturer’s scanning software to capture and merge data. Advanced software such as reverse engineering or deviation inspection is usually licensed separately, so ask before renting.
What is the difference between handheld and desktop 3D scanners?
Handheld scanners are flexible and can scan large objects and work on site. Desktop or tripod scanners with a turntable usually give higher resolution on small objects, with stable operation that depends less on operator skill.
What formats is 3D scan data usually exported in?
The most common format is STL for 3D printing and machining, and OBJ or PLY when you need to keep color. To edit in CAD software, the mesh data has to go through reverse engineering to become a solid model such as STEP.
